1. Pricing
1.1. Inclusions: The prices for our offers include all taxes and charges, including GST (where applicable), unless stated otherwise. Additional surcharges, payable directly to the hotel, may apply and will be specified in the relevant travel offer.
1.2. Price Changes: Prices for products and services are accurate at the time of display but are subject to change without notice.
2. Airlines
Airfare bookings are managed according to the terms associated with each specific travel product and can be finalized at any time after the initial booking at VN Holidays’ discretion. If no specific requests are made at the time of booking, VN Holidays will proceed with booking the airfare included in the package without further communication or additional charges.
The choice of airline is entirely up to VN Holidays, and any requests to change the airline will be subject to availability and may incur extra costs.
Once airfare bookings have been made, any changes, whether or not the details have been shared with the customer, will result in fees from both VN Holidays and the airline. It is essential that the customer provides accurate information for booking; VN Holidays is not responsible for any expenses arising from incorrect information provided by the customer.
In the case of schedule changes, delays, or disruptions, which are determined solely by the airline, VN Holidays will not be liable for any associated costs.
It is the customer’s responsibility to understand the airline’s specific terms and conditions and to regularly check for any schedule updates prior to departure.
3. Hotel Accommodation
3.1. Twin Share Accommodation: Twin share accommodation is based on a shared twin room allocated by the supplier.
3.2. Single Supplement: Single accommodation for individuals travelling alone requires an additional payment of a single supplement.
4. Reservation and Payment
4.1. Reservation: Passenger names must be provided exactly as they appear on the passport, at the time of booking. A valid passport copy is also required. Any name corrections required after full payment must be requested in writing and will incur additional charges, including ticket reissue fees.
4.2. Full Payment: Full payment is required at the time of booking and must be received before the booking confirmation is issued.
5. Cancellations and Refunds
5.1. Cancellation by the Customer: All cancellation or change requests must be submitted in writing to our Travel Consultant team before the cut-off period.
5.2. 7-Day Change of Mind Guarantee: All tour bookings include a 7-Day Change of Mind ‘No Questions Asked’ Refund Guarantee. Cancellations made within 7 days of purchase and provided that the cancellation is made no less than 60 days prior to departure will receive a full refund, minus a $20 service booking fee per booking.
5.3. Cancellations After 7 Days: Cancellations made after the 7-Day Change of Mind period are subject to the following fees:

5.4. Cancellation by VN Holidays: VN Holidays reserves the right to cancel any tour due to insufficient bookings or unforeseen circumstances. In such cases, an alternative tour will be offered, or a full refund of all monies paid will be provided.
5.5. Refunds: No refunds will be provided for unused services or early/late departures.
6. Changes in Dates
6.1. Date Changes Within 7 Days: Date changes are allowed within 7 days of purchase under the 7-Day Change of Mind Refund Guarantee at no additional cost.
6.2. Date Changes After 7 Days: Changes to your booking date can be made at least 14 days before your original travel date, provided the new dates are of equal value and available on our website. Date change requests must be sent via email to vnholidays@vnholidays.com.au and are strictly subject to availability. A change fee of up to $350 per person may apply depending on the airline’s rebooking fee.
7. Name Changes or Corrections
7.1. Within 7 Days: Name changes are allowed within the 7-Day Change of Mind Refund Guarantee by cancelling and rebooking.
7.2. After 7 Days: Name changes after the 7-Day period may be permitted for a fee. Please contact VN Holidays for more information.
8. Travel Insurance
8.1. Recommendation: It is strongly recommended that all customers travelling with VN Holidays have adequate travel insurance coverage for the duration of their travel arrangements. This should cover medical expenses, personal accidents, loss of baggage, and other travel-related risks.
8.2. Insurance Partners: VN Holidays has partnered with NibTravel Insurance and Aussietravelcover to offer customers competitive rates for travel insurance. Comprehensive or Essential cover can be booked for domestic, international, or multi-trip journeys directly through us.
9. Passport and Visa Requirements
9.1. Valid Passport: Customers must have a valid passport with at least six months of validity remaining from the return date.
9.2. Visa Requirements: Customers are responsible for obtaining all necessary visas and permits for entry into the countries visited on the tour. VN Holidays can assist with visa applications upon request but cannot guarantee visa issuance.
10. Health and Fitness
10.1. Health Requirements: Customers must be in good health and possess the necessary fitness level to participate in the tour. Any pre-existing medical conditions must be disclosed to VN Holidays at the time of booking.
10.2. Medical Assistance: VN Holidays will not be responsible for any medical expenses incurred during the tour. It is strongly recommended that customers carry sufficient medication and consult with their physician prior to departure.
11. Itinerary Changes
11.1. Changes by VN Holidays: VN Holidays reserves the right to make changes to the tour itinerary due to local conditions, weather, or other unforeseen circumstances. Any changes will be communicated to customers as soon as possible.
11.2. Customer-Requested Changes: Any changes requested by the customer after booking confirmation may incur additional costs and are subject to availability.
12. Responsibility and Liability
12.1. VN Holidays Responsibility: VN Holidays acts only as an agent for various suppliers (hotels, airlines, transport companies, etc.) involved in the tour. We are not responsible for any loss, injury, or damage resulting from acts or omissions by these suppliers.
12.2. Customer Responsibility: Customers are responsible for their personal belongings and must adhere to local laws and regulations during the tour. VN Holidays is not liable for any losses or damages incurred as a result of negligence or misconduct by the customer.
13. Force Majeure
Unforeseen Events: VN Holidays will not be liable for any failure or delay in performing our obligations due to events beyond our control, including but not limited to natural disasters, pandemics, war, strikes, or government restrictions.
14. Complaints and Disputes
14.1. Complaints: Any complaints regarding the tour must be communicated to the tour leader or VN Holidays representative as soon as possible. If the issue cannot be resolved locally, please contact VN Holidays in writing within 28 days of the tour’s conclusion.
14.2. Governing Law: These terms and conditions are governed by the laws of Australia, and any disputes arising from these terms will be subject to the exclusive jurisdiction of the Australian courts.
15. Maps and Illustrations
General Purposes: Maps, route maps, and photographic illustrations for Cambodia, Vietnam, and Laos are for general purposes only and are not intended to indicate exact routes, facilities, services, or hotels, which may vary.
16. Important Travel Information
Travel Updates: Please contact the Department of Foreign Affairs and Trade at www.dfat.gov.au or 1300 555 135 for the latest travel information for Vietnam, Cambodia, and Laos, as well as other destinations in Asia. It may be necessary to change your itinerary due to circumstances beyond our control.

18. Acceptance of Terms
Agreement: By booking a tour with VN Holidays, you acknowledge that you have read, understood, and agreed to these terms and conditions.
